Handling of Personal Information

DOKOH SHOJI CO., LTD. (hereinafter referred to as “the Company”) regards the appropriate handling and protection of customers’ personal information as an important issue for our business and thus strives to implement the following personal information protection policies.

Management System
The Company shall maintain the information to identify the individual (hereinafter referred to as “Personal Information”) that is obtained from customers in an accurate and up-to-date condition.
The Company shall implement reasonable measures to ensure safety management (information security measures) and to prevent unauthorized access to personal information, loss, destruction, alteration, or leakage.
The Company shall provide employee training in the appropriate management and storage of personal information obtained from customers.

Collecting Personal Information
The Company shall collect personal information by legal and fair means only.
The customer may provide personal information as required, such as name, address, phone number, age, date of birth, gender, email address, occupation, usage of the various services, opinions and inquiries when customer purchases the Company’s products, uses different types of service, customer service center, website, or cooperates with various marketing activities. The Company shall collect the personal information directly from the customer within the scope of purpose to fulfill necessary business.

Purpose of Use of Personal Information
The Company shall use the personal information of the customer for secure and accurate transactions with the customer, in order to offer better products and services.
More specifically, the Company shall collect and use the personal information within the scope of purpose to fulfill necessary business including: delivered products including cosmetics, health food, health equipment and beauty treatments, and offering services, reference for research and development of products and services, creation of statistical data and media, sales activities including providing information and guidelines by telephone and direct mail, recording of feedback, contents of an inquiry, and management of personal information.

Disclosure of Personal Information to Third Parties
The customer’s personal information may be disclosed or provided to third parties in the following situations.
1) When the Company has the customer’s consent.
2) When required by law.
3) Within the scope of purpose to fulfill necessary business.
4) When the Company may share or disclose the personal information to be managed by a contractor within the scope of purpose to fulfill necessary business. In this case, the Company shall impose obligations upon the contractors to ensure secure management of personal information equivalent to the Company.

Disclosure/Change/Deletion of Personal Information
If the customer wishes to obtain any personal information provided to the Company, the request will be handled promptly in accordance with laws and regulations after verification of identity unless we have a special reason.
If the customer wishes to change, or delete any personal information provided to the Company, the request will be handled promptly in accordance with laws and regulations after verification of identity.

Retention and Deletion of Personal Information
The personal information shall be properly maintained and managed safely during the period determined by the Company, and the Company shall delete the personal information when the period has expired.

Compliance with Laws, Improvement, and Modification
The Company complies with “Act on the Protection of Personal Information” and other Japanese laws and regulations pertaining to personal information and reviews the handling of personal information in a timely manner, endeavoring to make improvements and modifications where necessary.
